Each Citizens Advice Bureau has an administration processes in place to keep the Bureau running smoothy and there are often a team of volunteers that contribute to them. Each Bureau is different, so processes can differ, however some of the things an Administrator might undertake at our Bureau could be:
- Updating local information resources used by advisers and publicity materials and information resources made available to the public
- Receiving and sending mail and some types of e-mails
- Copying, scanning, printing and uploading information to the client recording system
- Taking notes and minutes at meetings, in the event that the Session Supervisor or Admin Co-ordinator is unavailable
- Answering telephone calls and passing messages to advisers
- Making appointments for clients
- Are open minded and don't judge our clients or their circumstances
- Enjoy helping people
- Prefer regular volunteering and are able to offer an agreed number of hours each week (the days and hours are dependent on each individual)
If you were more intrested in receptionist duties separtely or would like to do this longside the administrative role, you might undertake the following tasks:
- Greeting clients and making them fee comfortable, when they are sitting in the reception area
- Managing the waiting room
- Informing advisers of their scheduled client arrivals or communicating with Admin/Triage/Session Supervisor support if walk-in/drop-in session clients have arrived at the Bureau
Qualifications are not required as we have a tried and tested Training Programme, used by every Citizens Advice Bureau across Scotland.
Volunteers are always supported during all sessions, therefore, you don't need to have a specific background or knowledge in specific areas, but if you do, that's great!
